Renewals and changes in your tenancy
WHAT HAPPENS WHEN SOMEONE WANTS TO MOVE OUT?
As soon as you know that someone needs to move out of the property you must notify the lettings office by email.
If someone (not everyone) in the property needs to move out, you will need to find a replacement and we can discuss the options for adjusting the contract with you.

WHAT IS A LICENCE TO ASSIGN?
A Licence to Assign is a legal document which changes the terms of the existing Tenancy Agreement. It simply replaces person X with person Y. The terms of the existing Tenancy Agreement are still in place (rent, break clauses, expiry etc), except the occupiers.
We’ve agreed to sign a Licence to Assign or a new contract – what now?
Once all is agreed, you must find a replacement occupier. Please note that it is your responsibility to find a replacement occupier and you will all still be liable for rent until documentation is signed.
If a replacement occupier is to move in, they must be referenced, approved by the landlord, sign the tenancy agreement/Licence to Assign and any other relevant documents before they take up occupation in the property.
Please note there is a Tenancy fee for any changes to occupants, which will cover reference checks and administrative work.
WHAT HAPPENS TO THE DEPOSIT IN THIS CIRCUMSTANCE?
The Inventory used at Check-In will be used as fully effective check outs can only be conducted when a property is empty and has been cleaned. You can, however, request an ‘Interim Inventory Check’ to be carried out.
We cannot refund a part-deposit as all occupiers are jointly and severally liable, so you must arrange a direct exchange between the outgoing and ingoing occupiers. The inventory used at check-in will be provided to the new occupier. If there are any issues then an “Interim Inventory Check” can be requested but there will be a charge for this. An Interim Inventory Check would enable you to ascertain whether there would be any obvious deductions from the deposit when the property has been fully vacated at the end of tenancy Check-Out. The Check-Out will still be conducted from the original inventory so an interim inspection is only a guide, in limited circumstances, due to the continued occupation. Please note that interim Inventory checks are also subject to the landlord’s approval.
RENEWALS
We will generally contact you two months before the fixed term of your tenancy agreement expires in order to see if you are planning to stay for another term. A renewal of the tenancy can then be agreed with the landlord. If you do not wish to renew your tenancy please remember that correct notice will still need to be served before vacating the property.
